Enhancing Academic Workload Management: Fcom Smart Workload Projection System

Abstract

The management of academic workloads is essential for promoting fairness, efficiency, and transparency in higher education institutions. At the Faculty of Computing and Multimedia (FCOM) of Universiti Poly-Tech Malaysia (UPTM), the conventional manual process for allocating workloads—largely reliant on static Excel spreadsheets—has led to inefficiencies, restricted flexibility, and frequent mistakes. To tackle these issues, the FCOM Smart Workload Projection System was created as a dynamic web-based solution that incorporates automated allocation, real-time tracking, and a scalable architecture. Developed using the Incremental Model methodology, the system underwent iterative refinement through prototype, alpha, and beta phases, guided by ongoing user feedback. Notable features include automated workload distribution, interactive dashboards, user-friendly interfaces, and comprehensive reporting tools. Evaluation outcomes indicate significant enhancements, such as a 30% decrease in manual allocation errors, improved administrative efficiency, and heightened faculty satisfaction resulting from transparent, data-driven decision-making. However, the system does have limitations, including its emphasis on teaching tasks and dependence on the accuracy of historical data. Future improvements will focus on integration with institutional platforms, predictive analytics, and support for non-teaching duties. In summary, the system offers a robust, scalable, and innovative method for modernizing the management of academic workloads.
